Request for Proposal: WordPress Website Maintenance & Server Update

1. Company Overview

Guardian Alliance Technologies is a SaaS-based background investigation platform serving over 1,200 public safety agencies across 48 states. Our corporate website serves as the primary online presence for the company and is a key element of our marketing and communications strategy.

2. Project Overview

Guardian Alliance Technologies is seeking proposals from qualified web developers or development firms to perform maintenance and updates on our WordPress corporate website. The site is hosted on a DigitalOcean droplet. This engagement covers an initial remediation effort followed by ongoing support on an as-needed basis.

3. Scope of Work

3.1 Phase 1: Server & Platform Updates — Priority

The highest-priority work involves bringing the server and WordPress environment up to current, supported versions:

  • Conduct an initial vulnerability assessment of the current environment, including the server operating system, PHP 7.4.9 installation, WordPress core, installed plugins, and themes.
  • Provide a written summary of any known vulnerabilities or security exposures identified.
  • Assess the current PHP version and determine the upgrade path to the latest stable, WordPress-compatible release.
  • Evaluate whether the DigitalOcean droplet’s operating system requires an update to support the target PHP version, and perform the operating system update if necessary.
  • Upgrade PHP to the target version, ensuring compatibility with the existing WordPress installation, theme, and plugins.
  • Update WordPress core to the latest stable version.
  • Update all installed plugins and themes to their latest compatible versions.
  • Resolve any conflicts or deprecation issues introduced by the PHP or WordPress upgrades.
  • Perform thorough testing after the updates to confirm site stability, functionality, and performance.

3.2 Phase 2: Website Content Updates

In addition to the server and platform work, there are a number of minor content and layout changes needed across various pages of the site. These include:

  • Text and copy updates on existing pages.
  • Layout and formatting adjustments.
  • Image or media replacements as directed.
  • Any other minor page-level revisions identified by Guardian staff.

A detailed list of specific page changes will be provided to the selected vendor.

3.3 Phase 3: Ongoing Maintenance — As Needed

Following the initial remediation, Guardian anticipates a need for occasional website updates on an as-needed basis. This may include:

  • Periodic WordPress core, plugin, and theme updates.
  • Minor content or layout changes as requested.
  • Troubleshooting and bug fixes.
  • Security patching and monitoring.

This phase is not expected to require a retainer. Work will be assigned and billed on a per-request or hourly basis as mutually agreed upon.

4. Technical Environment

  • CMS: WordPress, version to be assessed
  • Hosting: DigitalOcean droplet
  • Server operating system: To be assessed and may require an update
  • PHP version: 7.4.9, which requires an update

Server access credentials will be provided to the selected vendor under appropriate security controls.

5. Proposal Requirements

Please include the following in your response:

  • Company or individual background, including relevant WordPress and server administration experience.
  • Proposed approach for the Phase 1 server and platform updates, including risk-mitigation strategies such as staging environments and rollback plans.
  • Estimated timeline for completion of Phase 1 and Phase 2 work.
  • Pricing structure, including:
    • A fixed-price estimate for Phase 1 and Phase 2.
    • An hourly or per-task rate for Phase 3 ongoing work.
  • At least two references from comparable projects.
  • Availability and preferred communication methods.

6. Evaluation Criteria

Proposals will be evaluated based on:

  • Relevant experience with WordPress and Linux server administration.
  • Quality and clarity of the proposed approach.
  • Competitive and transparent pricing.
  • Responsiveness and communication.
  • References and past work samples.

7. Terms and Conditions

  • Guardian Alliance Technologies reserves the right to accept or reject any or all proposals.
  • This RFP does not commit Guardian to award a contract or to pay any costs incurred in preparing a response.
  • All work product related to the Guardian website remains the property of Guardian Alliance Technologies.
