Rostering Officer – Full-Time Remote (Philippines)/ 6 days ago
Quick Summary
About the Role
Ammacare is seeking an experienced, organized, and reliable Rostering Officer to join our remote support team. This full-time position is based in the Philippines and involves coordinating and maintaining rosters for 170 staff working in Australia.
The successful candidate will ensure shifts are covered, changes are communicated promptly, and staffing requirements are met. This role is critical for effective workforce management and requires hands-on ShiftCare experience, strong knowledge of Australian rostering practices, and an understanding of how rostering decisions impact payroll, employee entitlements, and staffing costs. You should be comfortable managing a large workforce, responding to last-minute changes, and working independently.
Key Responsibilities
- Prepare and maintain staff rosters: Utilize ShiftCare to allocate and manage shifts for a 170-person workforce, considering operational needs, staff availability, qualifications, and work locations.
- Manage daily roster changes: Promptly respond to leave requests, sick calls, cancellations, and unfilled shifts by arranging suitable replacements.
- Communicate clearly: Keep staff and managers informed about shift allocations, roster updates, and outstanding coverage issues via phone, email, and online messaging.
- Support compliant rostering: Prepare rosters in adherence to company policies and applicable Australian award or agreement requirements. Apply SCHADS Award awareness when planning shifts and identifying matters requiring payroll or management review.
- Maintain accurate records and support payroll: Keep staff availability, leave, shift, and timesheet information up to date. Check for discrepancies and collaborate with the payroll team to ensure correct recording of hours, shift types, overtime, and relevant allowances.
- Monitor staffing coverage and costs: Identify staffing shortages, avoidable overtime, recurring scheduling issues, and potential payroll errors, escalating concerns to management promptly.
What We Are Looking For
- Hands-on ShiftCare experience is essential, including creating, updating, and managing staff rosters and schedules.
- Practical knowledge of the SCHADS Award and its payroll implications is essential, particularly when rostering an Australian workforce.
- Previous experience as a Rostering Officer, Workforce Scheduler, or Staffing Coordinator supporting an Australian organization, ideally managing a workforce of a similar size.
- Strong understanding of Australian time zones, rotating rosters, leave coverage, and relevant industry rostering requirements, along with confidence using Microsoft Excel or Google Sheets.
- Strong spoken and written English, excellent attention to detail, and the ability to manage competing priorities, protect confidential information, and respond calmly to last-minute changes.
- Current residence in the Philippines, availability to work the agreed Australian-aligned schedule, and a reliable home-office setup with internet access, a suitable computer, a headset, and a quiet workspace.
SCHADS Award and Payroll Awareness
Understanding the payroll impact of rostering is a crucial aspect of this role, extending beyond just filling shifts.
You must possess a working knowledge of the Social, Community, Home Care and Disability Services Industry Award (SCHADS Award) as it pertains to our Australian workforce. Relevant knowledge includes employee classifications and pay points, casual loading, overtime, weekend and public holiday penalties, shift allowances, minimum engagement periods, rest breaks, sleepovers, and broken shifts.
Fair Work Awards
You will be expected to identify potential roster-related payment issues, maintain accurate information for payroll, and work closely with the payroll team to support correct employee payments. Where an award requirement is unclear, you should seek guidance rather than make assumptions.
Working Arrangements
This is a fully remote, full-time position of 38 hours per week, based in the Philippines and supporting Ammacare’s Australian operations.
You must be contactable and responsive throughout your scheduled working hours. Weekend, Australian public holiday, and after-hours coverage will form part of the agreed roster.
